1.1.1 To secure your reservation, a non-refundable deposit of 20% of the total tour cost is required. Once this deposit is received, your booking will be confirmed.
1.1.2 We require a minimum deposit of 20% of the holiday cost at least 60 days prior to the departure date. The remaining balance can be paid upon your arrival in Nepal. In the event that your booking is not accepted, your deposit will be refunded. Please note that certain suppliers and peak season holidays may require higher deposit amounts, and you will be informed of these requirements prior to making your deposit.
1.1.3 We offer convenient payment options, including bank transfers and online services through our website. We accept major credit and debit cards for your convenience.
1.1.4 After making the payment, please provide us with a screenshot or receipt as proof of payment.

Once we receive the receipt of your deposit, we will promptly issue a Confirmation Invoice, which will mark the beginning of our contractual agreement.
Please note that if the balance payment is not made 60 days prior to the departure date, we reserve the right to apply the cancellation policy outlined in the clause below.
For last-minute bookings: Himalayan Marvel Adventure gladly accommodates your request. You can book a trip to Nepal as late as 24 hours before the trip starts. However, for last-minute bookings, a 50% payment is required at the time of booking. Please be aware that the cancellation policy outlined in the clause below also applies to last-minute cancellations.

While we strive to accommodate such changes, it’s important to consider the impact they may have on our team and the overall trip. To request any modifications, please provide a clear written request signed by the person who made the booking.
If the requested changes are made at least 60 days before the departure date, there is no charge. However, if the modifications are requested after this timeframe and accepted, there will be a fee of USD 100 per person.
Please be aware that changes made within 28 days of the departure date will not be considered valid. In such cases, the cancellation and re-booking policy, as outlined below, will apply. If the requested amendments cannot be made, cancellation charges will be applicable.
It’s important to note that if you make any modifications during your holiday, you will be responsible for covering all associated costs.

2.1.1 Date Amendments: If you wish to change your tour dates, the rules outlined in the previous clause apply. Please inform us of the new travel date at least 60 days before the scheduled tour. Changes made 28 days prior to the tour will incur a fee of USD 100. Any changes requested after this timeframe will be subject to acceptance or rejection by The Company.
2.1.2 Destination Amendments: Should you decide to change the destination of your tour, the same rules as mentioned in the previous clause will be applicable. Please inform us of the new destination date at least 60 days before the tour. Changes made 28 days prior to the tour will incur a fee of USD 100. Any changes requested after this timeframe will be subject to acceptance or rejection by The Company.
We strive to accommodate your requests to the best of our abilities while considering the feasibility and impact of your travel arrangements.
At Himalayan Marvel Adventures, we understand that circumstances may arise where a team member needs to transfer their travel arrangements to another person. To ensure a smooth transition, please take note of the following guidelines:
If a team member wishes to transfer their booking to a new person, the new member is responsible for fulfilling all the terms and conditions of Himalayan Marvel Adventures. The transfer information must be provided at least 15 days prior to the departure date. In addition to a transfer fee of US$ 100, the client must cover any other unrecoverable charges incurred from the transfer. After the 15-day period, the transfer request will be subject to acceptance or rejection by The Company.
In the event that one of your team members decides to cancel their travel plans and a replacement cannot be found, the terms outlined in cancellation clause 2 will apply. Please note that this may result in an increase in price for the remaining team members.
We strive to accommodate changes and cancellations to the best of our abilities while considering the impact on your overall travel arrangements and the fairness to all parties involved.
Cancellation requests must be submitted in writing, accompanied by valid reasons. Only requests made by the person responsible for the payment will be considered. Refunds will be provided based on the following schedule, depending on the number of days prior to departure:

It’s important to note that certain costs incurred by the agency, such as early bookings for flights, games, lodges, etc., may be non-refundable. These unrecoverable charges will not be reimbursed.
In the event of partial room cancellation, where only a few team members cancel their tour, the cost for the remaining individuals may increase. You will be responsible for covering this additional cost.
Please remember that having travel insurance is crucial to safeguard against unforeseen expenses and cover any additional costs incurred.
In the event of “unavoidable and extraordinary circumstances,” you have the option to cancel your confirmed holiday. If your holiday or transportation is significantly affected by your immediate surroundings, we will provide a full refund of your payment, excluding any unrecoverable costs.
For such cancellations, it is necessary for the Foreign, Commonwealth, medical personnel or a Development Office to have explicitly advised against your travel.
“Unavoidable and extraordinary circumstances” encompass acts of terrorism, pandemics, accidents, epidemics, significant health risks, natural disasters, or political factors.
In the event that changes need to be made prior to departure, the rules outlined in the amendment clause above will apply. However, please note that if you decide to return home early during the holiday, the Company will not be held responsible for refunding any unused costs. Similarly, if you choose to shorten your holiday due to any complaints about our services, we will not cover any associated expenses.
If the Company agrees to provide a partial refund, it will be processed through the bank after deducting applicable charges such as bank service fees and SWIFT charges. To initiate the refund process, please complete the provided form (include a form)
It’s important to note that in certain cases, travel insurance may cover such curtailment, and you may be able to claim the amount through your insurance provider.
In the event that you need to book an alternative holiday after canceling the first one, your charge will be adjusted according to our cancellation policy. You will then be required to pay the remaining amount, excluding any balance with us, in accordance with our booking policy. Please note that the confirmation charge does not apply in the case of re-booking.
While we strive to provide accurate information to our clients, it is important to note that we cannot be held liable for any changes that may occur due to weather conditions, health issues, unexpected delays, or political factors. If there are any significant or long-term changes that need to be made, we will notify you promptly to keep you informed.
The Company strives to provide accurate descriptions and prices for our services. However, we reserve the right to make changes to the itinerary and pricing before accepting your booking, if necessary. Rest assured, we will only make changes in exceptional circumstances.
In rare situations, the Company may need to make minor adjustments prior to your departure. These minor changes may include alterations to flight or drive times by up to 12 hours, slight modifications to the route, changing to another hotel of a similar or higher standard, or switching carriers. Additionally, due to current regulations, avoiding crowded or closed areas related to COVID-19 is also considered a minor change.
Should we need to make significant changes, we will notify you in advance of your trek and present alternative options. You will have the choice to book another holiday or cancel your booking with a full refund. Significant changes include delays at the airport exceeding 12 hours, changes in the destination, downgrading accommodation, or an increase in price.
Please note that you must notify us of your decision to claim a change or refund within seven days of receiving the notice. If we do not hear from you within this timeframe, we will assume you have accepted our proposed changes. In the event that we cancel your trip for reasons unrelated to low bookings or forced closures (such as natural or political reasons), you will receive a full refund and additional compensation, the amount of which will be determined by our Himalayan Marvel staff.
The Company retains the right to cancel your booking if the balance payment has not been received 60 days prior to the tour. You also have the option to cancel the tour immediately in the case of force majeure or low booking.
Force majeure events include circumstances such as terrorist attacks, war, political risks, pandemics, and natural disasters.
Low booking refers to a situation where the number of bookings is insufficient to cover our expenses.
If we cancel the tour for any reason other than those mentioned above, the Company will typically arrange an alternative option of a similar standard or provide a refund based on the original price.
3.1 The Company reserves the complete authority to modify the prices of any holiday listed on the website prior to the booking. Once the booking is confirmed, any changes in the price are not permitted. You can contact us via email to inquire about the exact price.
3.2 The Company may adjust the holiday price after the booking under the following circumstances:
If you do not agree with the new price, you have the option to request a refund within 7 days of the notification. Requests received after the seven-day period will not be considered valid. Please note that the non-refundable confirmation fee of 20% applies under all conditions.
3.3 The Company is not obligated to provide a detailed breakdown of the holiday costs.
We strongly recommend obtaining travel insurance prior to the tour, as it provides coverage for various contingencies. Your travel insurance should include protection for cancellations, curtailments, medical expenses (including evacuation charges), personal liability, theft, and death. Additionally, it should cover injuries sustained during adventurous sports activities. The Company will not be held responsible for any illness, injury, or death during the trip, trek, or tour, except in cases of negligence. Furthermore, the Company is not liable for any uninsured losses of personal property, and any loss, damage, or accidents involving luggage or belongings is the responsibility of the owner, even if carried by porters or animals.
If you have any disabilities or health conditions that we should be aware of, please inform us prior to the tour. Kindly attach the relevant medical report along with your insurance details in the booking email.
4.1 Emergency Situations: Mountain tours can sometimes involve unforeseen emergencies. In such challenging circumstances, our guides will employ the most appropriate measures to address the situation. This may include extended stays at a location or descending to a lower altitude. If necessary, they may arrange for prompt medical treatment at a nearby hospital. The client or their travel insurance is responsible for covering the expenses associated with such additional measures.
The Company, including our guides, leaders, and staff, cannot be held liable for accidents or incidents related to any part of the arrangements or services during the trip. While our group leaders will provide first aid assistance to the best of their abilities and judgment, it is important to note that they are not professional medical practitioners. By signing the booking form, you agree not to initiate any legal proceedings against the Company, its employees, or associates based on any first aid treatment, medication, advice, or suggestions provided during the trip.
In the event of an emergency evacuation, we will promptly organize a helicopter rescue using a domestic helicopter service. The client or their travel insurance should cover the costs associated with helicopter evacuations, and the payment must be settled before departing from Nepal.
All Tibet tours organized by Himalayan Marvel Adventures strictly adhere to the regulations set by the Tibet Tourism Authority. Neither our agents nor we can be held accountable for any changes or cancellations to the program due to circumstances beyond our control, including road blockages, floods, snow, political unrest, flight cancellations, delayed arrivals, sickness, accidents, or any directives issued by the Tibet Tourism Authority. In such cases, clients are responsible for any additional costs incurred. We strongly recommend that you obtain comprehensive medical, personal, and cancellation insurance to ensure coverage for your planned activities. For Tiber and Bhutan Tours, the full tour cost must be paid in its entirety 45 days prior to departure.
Any information provided by our company regarding permits, visas, vaccinations, climate, clothing, baggage, special equipment, and other related matters is provided in good faith. However, it does not impose any responsibility on our part, and it is the passenger’s responsibility to obtain any necessary visas and travel documents required for the holiday.
Please note that our responsibility begins at the designated start date and time when joining the group in Nepal, India, Bhutan, or Tibet. We shall not be held responsible for any additional expenses you may incur to join the group.
The Company, Himalayan Marvel Adventures, reserves the right to use any photographs or images of you that are captured or taken during our holidays, without any fee or charge. These images may be utilized in various media formats, including existing and future platforms, for genuine promotional or marketing purposes. This includes but is not limited to, promotional materials like brochures, slides, video presentations, and online content.
In exceptional cases involving individual circumstances, the booking conditions outlined above may be waived by written consent from the Company Directors. It is important to note that all agreements with The Company are subject to the jurisdiction of Nepalese law, and the terms and conditions shall be governed accordingly.
